Description
We are looking for an experienced Administrative Assistant/Receptionist to join our team.

The Receptionist will play a key role in the success of our community which includes troubleshooting and resolving issues to maximize resident, family and potential resident satisfaction. This significant position offers tremendous opportunity for the right person with experience.

The primary purpose of this position is to answer the telephone, transfer calls appropriately and take accurate messages. The secondary purpose of the receptionist is to assist residents, guests and employees in a courteous, expeditious manner.  This position creates the initial impression of our community.

Sample of the Beaumont Receptionist Job Duties:

Regular scheduled hours for this position are 8:30 a.m. - 5:00 p.m., Monday through Friday. Before reporting to the desk at 8:45 a.m. the receptionist should: 1)Check the lunch ticket supply and the money box; 2)Make sure there is computer paper for the security check-in system; 3)Distribute all mail leftover from the previous evening and 4)Check the bulletin boards for outdated posters.

Answer telephones promptly (by the third ring) and professionally, transfer calls to the appropriate party, take accurate messages, and relay written messages in a timely manner.

Monitor Security systems and alarms.

Complete knowledge of the Disaster Plan and emergency procedures.

Understand the proper procedures for responding to: 1) resident emergency pull-station alarms 2)fire alarm system and 3)resident security systems.

Maintain the filing system at the front desk.

Record package deliveries for residents and staff.

Notify residents when visitors, guests, subcontractors or outside service providers check in and direct visitors to villas or apartments when appropriate.

Maintain effective communication with drivers, updating them regarding resident medicals and staff pick-ups at the train stations.

Interface in a professional and friendly manner with visitors, guests, residents and employees.

Maintain effective communication with Resident Services co-workers and the Director.

When necessary, sort the incoming mail and distribute in the appropriate mail boxes.

Maintain confidentiality and resident rights.

Direct all calls/appointments to the appropriate Departments.

Qualifications
  • BS degree in Long Term Care Administration or related field
  • 2+ years experience in a professional environment working with the older population
  • Experience with Microsoft Office
  • Effective written and verbal communication
  • Ability to handle multiple interruptions and prioritize responsibilities
